All conference suite availability and reservation request are taken online via OPUS.

If you have an existing OPUS account with the University Union and need to add The WELL as a location for conference suite reservations, please email our event services team at reservations@thewellatsacstate.com to have your account updated. Please provide the account name you use to log into OPUS with so we can quickly update your account in our system.
All reservation requests must be made at least one week in advance (reservation requests within one week must contact The WELL event services at reservations@thewellatsacstate.com to see if accommodations can be made).
The WELL facility reservation staff typically will respond within two business days to all inquiries. All renters are required to sign The WELL rental agreement. This agreement informs renters of their responsibilities. The person or organization named on the facility rental application assumes all responsibility for use of the facility. No rental agreement shall be considered approved until the contract is signed and listed as confirmed by The WELL facility reservation staff.

The WELL is happy to offer seven (7) different Conference Suites, with a variety of set-ups for your upcoming meeting or event. Reservations can be made in accordance with the Priority Usage Schedule. All reservations are on a first come first serve basis (with the exception of advance booking given to The WELL Priority usage schedule). The WELL offers reservations during normal business hours. Booking a facility on any holiday and before or after hours requires approval in advance. Please reference the facility hours of operations by clicking here.
Both Sacramento State affiliated groups and outside private Non-Profit organizations are welcome and encouraged to utilize The Well. Reservation request requiring more than six months notice shall contact the Coordinator of Facilities and Informal Recreation at 916.278.1786.

Room Setup: Upon arrival, the reserved conference suite will be setup as selected during your reservation process. Personnel event setup and takedown time must be included within your reservation.

Audio/Visual Equipment: Each conference suite is equipped with a LCD projector, flat screen television, drop down screen, computer hookup (both P/C and Mac), IPod dock, DVD player, Assisted Listening Devices, Whiteboards, Easels and Microphones. Additional fees may apply for audio/visual equipment.

Decorations: No Confetti, tacks, tape (unless blue painters tape), nails, etc. shall be used on any wall for any reason. No open flames will be allowed at anytime. All decorations shall be cleared and placed in the provided trash receptacles upon leaving. Decoration setup and takedown time must be included within your reservation. Green table skirts are provided, however all other linens (if desired) must be arranged by renter.

Food/Beverage/Catering: All food and beverage requests will be managed by University Catering or an on campus food provider. The WELL strictly prohibits the use of outside food and beverage (unless approved by University Catering). Catering arrangements must be made with University Catering or an on campus food provider and a copy provided to The WELL two weeks prior to your scheduled event. Catering setup and takedown time must be included within your reservation. If outside vendor is approved by University Catering, The WELL requires proof of compliance to dispense food / beverage from the County of Sacramento Health Department and general liability insurance. Pepsi has exclusive rights to for beverages (including bottled water) and Java City has exclusive rights to pour coffee per contractual agreement with the University. Beverage outside of these brands will not be allowed in The WELL for any reason (including the utilization of approved outside vendor). Alcohol is strictly prohibited within The WELL for all events (no acceptation). For more information regarding food and beverage options, please contact University Catering at 916.278.6786.

Event Staffing: An Event Staff Team Member or Building Supervisor is included and assigned to your reservation. All Event Staff Team Members and Building Supervisors are knowledgeable with all equipment and audio / visual needs. If you need assistance during your reservation, please don’t hesitate asking the Event Staff Team Member or Building Supervisor assigned to your event.

Parking: A valid CSUS parking permit must be displayed in all vehicles parked on campus. All organizations may make parking arrangements by calling the UTAPS office at 278-5244.

Liability Insurance: Liability Insurance is required for any reservation that is not affiliated with a CSUS program, department or deemed and off campus organization. The Union WELL Inc. will be named as the certificate holder and The State of California, the Trustees of the California State University, California State University, Sacramento and Union WELL Inc., and their officers, employees, representatives, and volunteers are covered as insured’s with respect to liability arising out of ownership, maintenance or use of that part of the premises leased to the lessee will be listed as additional insured’s on this policy. Union WELL Inc. may assist in the purchase of this insurance and the certificate of insurance must be received 72 hours prior to the event.

Fees: Please see our Fee's Page for more detailed pricing. Fees or charges are based on current information only. Additional charges may apply if additional space, equipment, or services are requested. Customer agrees to pay for charges that exceed advance estimated amounts when additional staff hours or services are required or due to extended use of facilities. Customer will be billed after the event for the additional amount. Building hours are based on the academic calendar and cannot be made final until calendars for each year are published. Therefore reservations made in advance may incur building overtime charges or additional overtime charges if event exceeds normal operating hours after final hours have been determined.

Cancelations/No Shows/rescheduling: Scheduling of facilities which are ultimately not used, incurs unnecessary cost, diverts staff from support for occurring events, precludes use by other organizations and prevents the offering of events to the Campus, therefore, reservations may be canceled up to two weeks prior to the reservation (unless noted in contract terms) without penalty. Canceled reservations within two weeks are subject to a $90.00 cancelation fee. Neither canceled nor used (a no show), is subject to the $120.00 cancelation fee per room. All cancelation fees must be paid in full prior to submitting any additional reservations. Existing reservations file will be modified to a tentative position and will lose priority until all canceled fees are paid in full.
